Data processed
- Identification and contact data, appointment requests, the child’s national register number, which is required to request a circumcision appointment (if your child has none, please contact us on WhatsApp), medical questions and answers, electronic consent and signature, and technical/audit data needed for assessment, care, follow-up, administration, security and legal record duties.
- Children’s data and medical photographs are special-category data.
Purposes and legal bases
- Data are processed for healthcare, medical assessment, follow-up, administration, continuity of care, legal obligations and security.
- Depending on the situation, processing relies on the care relationship, legal duties, legitimate interest and the healthcare exceptions under Article 9 GDPR. Consent is used where legally required.
Children and representation
- A minor’s data are processed in the interest of safe care. A parent or legal representative provides accurate information and exercises rights in light of the child’s age, maturity and applicable patient rights.
WhatsApp, email and medical photographs
- We communicate with you about the circumcision request and the appointment via WhatsApp and email because this is part of the medical service you request; the legal basis is the care relationship, not an optional consent. WhatsApp is not used for advertising.
- WhatsApp and ordinary email are not for emergencies. Send a medical photo only if the doctor asks for it, or when needed as the aftercare instructions after circumcision describe (for example, if you are unsure or worried about the wound).
- Medically relevant information from messages or medical photographs may, when needed for care, be included in the patient record. Separate messages and files outside the patient record are not kept longer than necessary for communication, care, administration and any applicable legal obligations or disputes. When further retention is no longer necessary, they are removed in accordance with the applicable internal retention periods.
- WhatsApp is a Meta service and its processing may involve international data flows; share as little sensitive information as possible.
Recipients and processors
- Where necessary and lawful, data may be shared with healthcare professionals, clinics, laboratories, hospitals, health insurers, authorities and IT or communication providers subject to appropriate obligations.
- Health data are not sold to advertisers.
- External IT service providers may be used for hosting, security and technical operation. To the extent that they process personal data, they do so only for the agreed technical services and under appropriate data-protection obligations.
Retention
- Medical records are kept under Belgian quality and professional rules for at least 30 and no more than 50 years after the last patient contact.
- Other data are kept no longer than necessary for their purpose, legal duties and management of possible disputes.
Your rights
- Within legal limits, you may request access, a copy, correction, restriction, portability or object to processing.
- Erasure is not always possible where data form part of a legally retained medical record.
- Where processing relies on consent, consent may be withdrawn for the future.

Complaints and contact
- Questions and requests can be sent to info@isleemcare.be.
- You may also complain to the Belgian Data Protection Authority. Identification may be required so medical information is not released to the wrong person.
